Staffing in today’s healthcare world can seem like a daunting task. Through the use of a vendor management system, folks are finding more efficient ways to find qualified staff to fill their needs.
With the right set of tools and a positive mindset, a vacant position can become a filled position in a few short steps.
1.) Anticipating the need in advance
— Placing orders in VMS as soon as you realize the need, usually one to two weeks in advance
2.) If you have an Immediate Need, mark the order as a “Priority”
— When you need a staff in 2-3 days, this action will alert the agencies to pull their resources over to your urgent order
3.) Sign up for notifications in VMS
— Signing up for notifications via email, text or on your homepage will allow you to immediately know when a staff has been matched to an order
4.) Offer quick feedback to the agency by declining staff that are underqualified
— This will help to ensure agencies are responsive to your orders and provide staff to your orders in an efficient manner
5.) Competitive rates within your region
— Request a rate analysis annually to ensure your agency bill rates are competitive within your region
6.) Utilize the “Offer” section of the order to communicate to the agency
— This section of the order, located in the order match screen, can help you communicate essential components of the booking process. i.e. credentials, first day information
7.) Book the staff
— Don’t let the order go unbooked. This lack of action could signal to the agency that the need is no longer present. Once you have decided on the right staff for your hospital, book them!
8.) Stay Positive
— Keeping a positive attitude during the staffing process can make all the difference
“There is little difference in people, but that little difference makes a big difference. The little difference is attitude. The big difference is whether it is positive or negative.” W. Clement Stone
